Terms and conditions for Team Royal Parks Fundraising Places at the 2025 London Marathon

Defined terms used in this document having the following meanings:
- ‘The Event’ means the 2025 TCS London Marathon scheduled to take place on 27 April 2025.
- ‘The Charity’ or ‘The Royal Parks charity’ means The Royal Parks Limited, a charity with charity registration number 1172042.
- ‘Team Royal Parks’ means all runners who are running in The Event to fundraise for The Charity.
- 'The Challenge Events Team’ means The Charity’s team who manage Team Royal Parks for The Charity only.
- ‘Team Royal Parks Fundraising Place’ or ‘place’ means a race place purchased from The Challenge Events team, provided to runners who wish to participate in the Event to raise donations for The Royal Parks charity.
- ‘The Event Owner’ means London Marathon Events Ltd.
- ‘Sponsorship’ is the amount of donation or fundraising the runner is giving to The Royal Parks charity.
- ‘Donation’ is a direct donation from the runner (or the runner’s friends and family) to The Royal Parks charity via a direct donation link, or via Bank Transfer or Cheque (all payment details will be provided to the runner by the Charity).
- ‘Fundraising’ is the sponsorship raised by the runner through the online JustGiving platform for The Royal Parks charity.
Scope
These terms and conditions relate to anyone participating in the 2025 London Marathon through a Team Royal Parks Fundraising Place. Team Royal Parks Fundraising Places are available by application to participants who wish to participate in the Event to fundraise for The Royal Parks charity and support the parks. The Event Owner has separate terms and conditions that apply to all runners participating in the Event.
Agreement
If you are accepted for a Team Royal Parks Fundraising Place, you agree to the following:
Registration and participation
- You must complete three registration steps to participate in the Event. These are:
- Paying your registration fee
- Informing the Challenge Events Team whether you intend to fundraise or donate towards your minimum sponsorship target
- Completing the Event Owner’s online registration (sent by email).
If you do not complete all registration steps by any deadlines provided by the The Challenge Events Team and the London Marathon Events Ltd, your place may be withdrawn. The deadline to complete the London Marathon Events Ltd’s online registration is Thursday 20 March at 4pm.
- You must pay a non-refundable registration fee of £75 to reserve your Team Royal Parks Fundraising Place (‘Registration Fee’). If all Fundraising Places have been filled by the time you pay the registration fee, your payment will be refunded or you may be invited to join the waiting list for a charity place.
- You agree to set yourself, and make every effort to fundraise or donate, a minimum sponsorship target of £2,000 (excluding Gift Aid and Registration Fee) for The Royal Parks charity. You cannot use your place to fundraise for another charity, or to participate in the Event if you do not wish to fundraise for The Royal Parks charity.
- If you participate in the Event and do not attempt to fundraise for The Royal Parks charity, you may not be eligible to participate in any future challenge events offered by The Royal Parks charity.
- You must be aged 17 years or over on the date of the Event.
- You cannot swap, sell or transfer your charity place in the Event or allow anyone else to participate on your behalf or under your name.
- The Royal Parks charity reserves the right to refuse registration or application for a charity place in the Event without providing reasons for doing so and at any time.
Running vest

You will be eligible to receive a Royal Parks running vest with your place.
8.1 If you have completed all registration steps by 31 January 2025 you will be eligible to receive a Royal Parks running vest with the personalisation (10 characters maximum) requested on your application form.
8.2 If you complete the registration steps after 31 January 2025 you will receive a Royal Parks running vest without personalisation.
8.3 You will receive the size of vest you requested on your application form. Vest sizes cannot be changed once your vest has been ordered.
8.4 If you are based in the UK, your vest will be posted to the address supplied on your application form. If your address is outside the UK, the Challenge Events Team will contact you to arrange for you to collect your vest once you arrive in the UK. It is your responsibility to notify the Challenge Events Team of any changes to your address at challenges@royalparks.org.uk. Vests posted to an old address, or to an incorrect address provided on your application form, cannot be replaced.
Terms of deferral
- Under exceptional circumstances and subject to any additional registration fee that may be payable in respect of the future event, the Charity may permit a deferral of your charity place to a future event at its absolute discretion. Please contact the Challenge Events team (challenges@royalparks.org.uk) to discuss if you are eligible for a deferral. If your charity place is deferred to a future event:
- You agree to donate the registration fee paid for this year’s Event to The Royal Parks Limited (registered charity number: 1172042)
- Your deferred place will be subject to you completing the instructions set out in the Terms of Deferral agreement, which will be sent to you by The Royal Parks charity.
Donations and fundraising
- Donations that you, or your sponsors, make to The Royal Parks charity cannot be refunded, except under the limited circumstances permitted by law or provided for in Charity Commission guidance. Donations will not be refunded if you withdraw from, or do not participate in, the Event.
- Cash donations cannot be sent to The Royal Parks charity.
- All donations you collect on behalf of The Royal Parks must be paid to the Charity by the following means:
- Via online giving platform link sent to you by The Royal Parks charity.
- Via an online donation at https://theroyalparks.enthuse.com/lm2025
- Via bank transfer to The Royal Parks charity using the bank account details sent to you by The Royal Parks charity.
- Via cheque, CAF vouchers or charities trust vouchers made payable to ‘The Royal Parks Limited’ and posted to:

- You will collect money only on behalf of The Royal Parks charity in connection with the Event.
- You will use only lawful means to fundraise for The Royal Parks charity and will not do anything that harms or is likely to harm The Royal Parks charity’s reputation.
- You will not use The Royal Parks charity’s logo without permission, and you will obtain all permissions and branded fundraising materials from The Royal Parks charity.
- Your fundraising will not include:
- Raising funds by carrying out door-to-door, unsolicited or street collections;
- Conducting any raffle or lottery or putting on any public event without first contacting The Royal Parks charity and taking any steps, which The Royal Parks charity require;
- Collecting in private places without first obtaining the permission of the owner; or
- Collecting in public places without first obtaining the appropriate collector’s licence from the local authority.
Personal data and images
- You agree that the Charity may use without payment, notice or further consent any photographs, videos and other images in which you may appear which are taken at an Event or Event-related occasion by the Charity’s employees or suppliers or any participant (or other person attending), in connection with the production, advertisement, marketing or promotion of The Royal Parks, the Event and any subsequent events, subject always to the Charity’s obligation to comply with data protection laws. The Charity will not, however, identify anyone by name without their agreement. Should you prefer that the Charity does not use any such images in which you may appear which are taken at the Event or any Event-related occasion in any promotional materials, or if you do not wish to be the subject of any photography, you should notify The Charity by emailing challenges@royalparks.org.uk.
- You give permission for your images to be stored and used by The Royal Parks charity in connection with the organisation, promotion and administration of this Event, and any other Events or promotions offered by the Charity.
- You give permission for your personal information to be passed on to the Event Owner by the Charity for the purposes of the organisation, promotion and administration of this Event.
- The Charity will use and store your data in accordance with its Privacy Policy. The Charity will use the email address, telephone number and postal address you provided with your application to send you important information about the race and support you with your fundraising.
Health, safety and fitness
- You accept that you are taking part in the Event at your own risk and confirm that your are medically and physically fit to take part in the Event.
- You accept that the Charity will not be held responsible for any accident, injury, loss or damage related to your training, fundraising or participation in the Event.
Prizes
- Any prize offered to Team Royal Parks runners is subject to separate terms and conditions, which are available on the Charity’s website.
Updates to this Terms and Conditions document
- The Charity reserves the right to change these Terms and Conditions from time to time without notice prior to the Event by updating the version of the Terms and Conditions on the website. You agree to any modifications made to these Terms and Conditions after you submit your application form.
